Privacy policy
Who we are
Airport Coaches is a UK brokerage arranging group coach transfers to and from UK airports. We act as the booking intermediary between you (the group organiser) and the licensed transport operators who carry out the journeys. For the purposes of UK data protection law (UK GDPR and the Data Protection Act 2018), Airport Coaches is the data controller for the personal data collected through this website. What we collect and why
Quote form data. When you request a quote, the form asks for your name, email address, phone number and the details of the journey — pick-up and drop-off locations, dates and times, group size and any notes you add (which may include flight numbers or requirements specific to your group). This data is submitted to our quote-management system (ECM), which we use to prepare your quote, respond to you and manage any resulting booking. The lawful basis is taking steps at your request prior to entering into a contract, and performing that contract once you book.
Email enquiries. If you email us directly, we hold your message and contact details for as long as needed to deal with the enquiry and any booking that follows.
Technical data. This website is delivered through Cloudflare, which processes visitor IP addresses and request data to route traffic and protect the site from abuse. We do not use this data to identify you personally.
Who we share it with
We share journey and contact details with the licensed transport operator assigned to your booking — they need them to carry out the transfer. Your data is also processed by the service providers that run this site and our quote system: our web hosting provider, our quote-management system (ECM) and Cloudflare. We do not sell personal data, and we do not share it with anyone else unless the law requires it.
How long we keep it
Quote enquiries that do not become bookings are kept for a reasonable period so we can respond to follow-up questions, then deleted. Booking records are kept for as long as needed for accounting, insurance and legal purposes, then deleted or anonymised.
Your rights
Under UK GDPR you can ask us for a copy of the personal data we hold about you, ask us to correct it, ask us to delete it, object to or restrict our processing of it, and ask for it in a portable format. Email [email protected] and we will respond within one month. If you are unhappy with how we handle your data, you have the right to complain to the Information Commissioner’s Office (ico.org.uk).
Cookies
We keep cookies to a minimum. This site does not run advertising or marketing cookies, and no analytics cookies are set at launch. If we introduce analytics in future, we will use a privacy-respecting configuration and update this page before doing so.
The cookies you may see are:
- Cloudflare cookies (such as
__cf_bm) — set by our content-delivery and security provider to distinguish genuine visitors from automated abuse. Strictly necessary; they expire within about 30 minutes and contain no profiling data. - Functional cookies from the quote form — used only to make the form work while you complete it (for example, remembering the journey details between steps). They are not used to track you across other websites.
Because these cookies are strictly necessary for the site and the quote form to function, they do not require consent under UK law. You can block or delete cookies in your browser settings at any time; the quote form may not work correctly without them, but you can always email us instead.
Terms of service
Our role
Airport Coaches acts as a booking agent: we arrange group coach transfers on your behalf with licensed, insured transport operators. The transport service itself is performed by the operator assigned to your booking. We choose operators carefully and remain your single point of contact throughout, but the carriage of passengers is subject to the operator’s licence and insurance.
Quotes and bookings
Quotes are firm for the journey described in your enquiry and are based on the group size, luggage, dates, times and locations you give us. Material changes — more passengers, extra stops, different dates — may change the price; we will always tell you before you commit. A booking exists only once we have confirmed it to you in writing. Payment terms, and any deposit required, are set out in your written confirmation.
Changes and cancellations
Tell your coordinator about changes as early as you can — most can be absorbed without fuss. Cancellation terms, including any charges that apply close to the travel date, are stated in your written booking confirmation. Where a flight delay is the cause, our flight monitoring means the transfer adjusts automatically at no charge — that is the point of the service.
Your responsibilities
You are responsible for the accuracy of the details you give us — passenger numbers, luggage, flight numbers, contact details — and for ensuring the group is ready at the agreed meeting point. Passengers must wear the seatbelts provided and follow the driver’s reasonable instructions. The organiser named on the booking is our point of contact for the group.
Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, or any other liability that cannot lawfully be limited. Beyond that, our liability as booking agent is limited to the value of the booking. We are not liable for losses caused by events outside our or the operator’s reasonable control, such as extreme weather, road closures or airport disruption — though our job, and our record, is managing exactly those situations so your group still gets where it is going.
General
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction over any dispute. If any part of these terms is found unenforceable, the rest remain in force. We may update this page from time to time; the date at the top tells you when it last changed.
