How it works


Moving a group through an airport should feel effortless — for the organiser most of all. Here is exactly what happens between your first enquiry and the moment your group is on board, and what we take care of along the way.

Search

Start with your airport. We serve eleven across the UK — find yours — and every one of them works to the same standard. Tell us where the group is going: a hotel, a stadium, a conference centre, a school, anywhere in the UK. If your group is arriving on more than one flight, or into more than one airport, say so — coordinating split arrivals is exactly the kind of problem we exist to solve.

Quote

Give us the essentials: group size, group type, travel dates and — ideally — the flight number. Add anything group-specific in the notes: kit, instruments, wheelchairs, a return leg, extra stops. What comes back is a firm quote, not an estimate that grows later. The price we give you is the price you pay, with the vehicle matched properly to your numbers and luggage from the start.

Book

Happy with the quote? Confirm it and everything goes in writing: vehicle, pick-up point, timings, driver contact arrangements and price. From the moment you book, your flight is on our monitoring list — not from the day of travel, from the day of booking. One coordinator owns your booking end to end, so you are never explaining yourself twice to a call centre.

Ride

On the day, your driver tracks the flight and is positioned before the group clears arrivals — name board raised, ready to help with luggage, and clear on exactly where the coach is parked. No hunting for a driver in a crowded hall, no queue at a taxi rank with thirty people and their bags. The group walks out, gets met, and is safely on its way.

What to expect on the day

The details organisers ask us about most — answered plainly.

What if the flight is delayed?

We watch the flight, not the clock. If your arrival slips, your driver’s schedule slips with it — you do not need to ring anyone, and there is no anxious meter running while you queue at passport control. The coach is there when the group is, whether that is on time or two hours late.

How will we find the driver?

You will not need to look. Meet-and-greet is standard on group bookings: your driver waits at the agreed point in arrivals with a name board carrying your group or organisation name. You will have the meeting point in writing before you fly, plus a way to reach your coordinator if anything changes mid-journey.

Will everything fit?

Yes — because we ask before we quote. Group size and luggage drive the vehicle we assign: hold luggage for every seat, plus space for the awkward extras groups travel with — team kit, instruments, ski bags, pushchairs. If your group travels heavy, tell us at the quote stage and the vehicle will be sized for it, not squeezed around it.

Who do we talk to if something changes?

One person: your coordinator. Passenger numbers move, itineraries shift, flights get rebooked — that is normal for group travel. Email the change through and your coordinator updates the booking and confirms it back in writing. You will never be passed between departments or asked to start the story again.
